The Problem

A 900-person branded event with three major partners — Resident Advisor, Highsnobiety, and Converse (Nike) — typically demands a 4–5 person production team. The team available was two people, both working full-time jobs, with a 6-week runway to pull it off. The gap between capacity and scope was significant.

What We Built

We built a custom AI-augmented production system using Claude Projects and specialized custom GPTs, each scoped to a specific function: budget, communications, legal, timelines, and production. The system generated SOWs, checklists, and stakeholder documents on demand, allowing two people to coordinate venue logistics, brand approvals across all three partners, and wheat paste OOH street campaigns across NYC without falling behind.

How It Works

  1. Step 1: Custom project folders were created in Claude Projects, with specialized GPTs assigned to distinct production domains — budget, comms, legal, timelines, and production — so each workstream had a dedicated AI context.
  2. Step 2: The two-person team used these GPTs to generate SOWs, stakeholder documents, and checklists on demand, eliminating the back-and-forth drafting time that typically requires additional headcount.
  3. Step 3: SOW and timeline automation handled coordination across venue logistics, multi-brand approvals, and OOH street campaign execution in NYC, keeping all moving parts aligned throughout the 6-week production window.

Outcome

The event came off with 900+ guests, zero downtime, on time, and on budget. The two-person team delivered an estimated 2–3x output relative to their headcount. The client's response: 'Couldn't have done it without you.'
